What to send for an accurate custom packaging quote

Share the product, size, quantity, artwork and destination. Use a clear brief to discuss the same requirements and compare quotations with fewer assumptions.

Start with the packing job

A useful packaging quotation begins with a clear description of the job. Tell us what goes inside the packaging, who handles it and what happens between packing and delivery. An apparel brand preparing individual online orders has a different brief from a packaging wholesaler building a repeat-order range.

Include the product name, the way it is packed today and any difficulties you want to address. Photographs of your current packaging can make the discussion more specific. If you are comparing several formats, explain what you want to improve rather than choosing a format only because it looks similar to another bag.

Measure the format you need

Send the dimensions of the product and the packaging dimensions you want to discuss. Say which measurement is width, length or height, and use one clear unit throughout the brief. If a closure, gusset or opening affects the usable space, include a photograph or a simple drawing.

Explain whether your measurements describe the outside of an existing bag or the usable space you need inside it. A photograph with a ruler is a useful starting point, but it does not replace an agreed specification. Confirm the final dimensions before approving an order.

Confirm quantity and material requirements

Give your expected first-order quantity and say whether the order is a trial, a one-off project or the start of repeat purchasing. If you are buying several sizes or artwork versions, list the quantity for each. This helps keep different items from being combined into an unclear total.

Share a material preference or the details of a bag you already use, if available. If you do not know the material or thickness, explain your application and send a sample or reference for discussion. Any documentation requirement should be raised before the order is agreed; a general product name is not evidence of certification or suitability for every use.

Detail What to include
Product to pack Product name, dimensions and the way your team packs it
Packaging format Bag or packaging type, opening, closure and size
Quantity Quantity for each size and artwork version
Material Your preferred material, reference sample or application requirements
Artwork Existing design files, logo, print position and colour reference
Destination Delivery location and the timing you want to discuss

Prepare your artwork

Send the artwork you already have and explain what should be printed on each side. A logo by itself may not explain the full print layout, so include a visual reference showing its intended position. Point out any text, colours or design elements that must remain consistent.

We will discuss the files and approval steps needed for the particular order. If your artwork is still being prepared, say so at the start. Avoid treating an image on a screen as final production approval; agree the artwork and the order specification together.

Separate dispatch from delivery

Give the destination and the date you are planning around. Ask for factory dispatch and international transit to be discussed separately. The date an order leaves the factory is not the date it arrives at your warehouse or customer.

Factory dispatch and international shipping are separate. DEWEWE PACK can discuss factory dispatch in as little as two days, subject to the product, quantity, order details and artwork approval. Sea or air freight arrangements and transit time are confirmed separately.

If you need a sample first, include that step in your plan. Sample pricing is quoted according to your customization requirements. Confirm what the sample is intended to help you review, and allow time for the decisions that follow it.

Your quotation checklist

Before sending your request, check that another person could understand the brief without guessing. A short, organized message is often more useful than several disconnected screenshots.

  • Describe the product, packing job and packaging format.
  • State dimensions clearly, including the units and how you measured them.
  • List quantity by size and artwork version.
  • Attach artwork, photographs or useful references.
  • Share material and documentation requirements.
  • Give the destination and the dates you need to discuss.

A clearer brief makes it easier to compare the same specification, rather than comparing quotations for different assumptions.
